Call for Abstracts and Videos

The DOG invites you to submit scientific abstracts for the DOG 2024 program. The deadline is Monday 8 April 2024. Submission is online only.

Contributions to the scientific program can be submitted in the form of presentations, posters or videos. Please submit abstracts online via this link. Submission and acceptance of an abstract does not release you from the obligation to register for the congress and pay the corresponding participation fees.

Content and nature of submission, compulsory registration

Proposals for the scientific program may be submitted as oral or poster presentations or videos.  Submission is only possible online. Abstracts received by email, fax or post will not be considered.

Unless otherwise indicated, the first lead author will be assumed to be the person making the presentation. All correspondence will be sent to this person who is then responsible for forwarding all information etc. to the other Authors.

Acceptance of an abstract does not release the Author(s) from the need to register for the congress and pay the corresponding attendance fees.

Assessment of the submissions, notifications

It will be necessary to select contributions for presentation from amongst all the submissions made. This selection will be undertaken by a review panel; the reviewers will assess anonymised versions of the abstracts. Abstracts will be evaluated by at least three members of the review panel working independently of each other.

The only criteria applied in the selection process will be the content, form and scientific quality of the submissions. 

The decision on whether a submission made for the Congress is accepted will be taken by the review panel and the DOG Program Committee.

The Author will be informed by e-mail about the decision whether his/her contribution has been accepted or rejected as well as about the form of presentation. The Author must therefore ensure that his/her contact data includes a valid e-mail address and that the Author will also access it at the time of the notification.

Freepaper oral sessions will be planned on the basis of the assessments of the abstracts.

Requirements with regard to content

Abstracts must exhibit an organised structure (the problem, methodology, results and conclusions). As part of this structure, the problem must be clearly formulated and an adequate methodology selected. The conclusions must relate to the results presented in the document. Remarks such as “the results are discussed” often lead to rejection.

Abstracts may contain up to 2,500 characters. They may be submitted in German or English and must be in a form ready for publication.

Abstracts must be completely anonymised: that is to say that the text must not contain any clue which could lead to identification of its origin or author. Names, institutions, companies and locations must therefore be removed prior to submission. Abstracts which are not sufficiently anonymized cannot be accepted. If the abstracts deal with research projects undertaken in close cooperation with industrial concerns, they must be identified as such.

The content of abstracts must not have already been published at a scientific conference or in a scientific journal.

By submitting the document, the Author confirms that all the Authors of the abstract are in agreement with the submission and that clinical investigations were conducted with the approval of the relevant Ethics Committees and that any experiments on animals had received official approval.

Amendments

Abstracts may be amended at any time prior to the deadline for submissions.

Assessment Codes

Abstracts will be sorted by code numbers in order to make assessment easier. Therefore when submitting your abstract please indicate the category into which it falls.

Poster exhibition, poster dimensions

Posters submitted and approved will be grouped together by topic and will be displayed for one day in the poster exhibition.

On the day of their respective poster session, poster Authors must hang their poster in the poster exhibition between 7.00 am and 8.00 am, and remove them between 5.30 pm and 6.30 pm on the same day. Posters which have not been removed by the Author by 6.30 pm will be taken down by Congress staff.

“Posters of the day” displayed in a separate exhibition will be taken down on Saturday evening by Congress staff after the Congress and only returned to their Authors on the Authors‘ request within 2 weeks after the Congress.

Posters must measure 90 cm wide and 120 cm high (portrait format).

Adhesives and help from Congress staff are available from the Poster Helpdesk at the Congress venue.

Poster Session

Poster sessions will take place from Thursday to Saturday immediately after the lunch break without any parallel events (13:45 to 14:45 hrs.); each session will take the form of a small moderated group at which the poster Authors will present their findings in a 3 minute lecture. The ensuing discussion will be led by two moderators.

Authors may write their posters in German or English.

So that participants can concentrate on the content of the poster sessions without being disturbed, headsets and receivers are available for participants and will be issued free of charge by staff located in several places in the poster lobby.

Poster Authors must therefore arrive in good time before the beginning of the poster sessions in the poster exhibition.

The equipment must be returned immediately after the end of the session to the staff at the various locations indicated.

Poster of the Day & Poster award

The moderators of each poster session will select a “Poster of the Day” for their group. The selected posters will then be displayed in a separate exhibition for the entire period of the Congress. Every day the poster prize jury will select the three best posters from the “Posters of the Day,” each of which will receive a prize of EUR 500.00. The prizes will be awarded at the DOG Farewell on Sunday around lunchtime.

Potential Conflicts of Interest

The DOG strives to ensure in all its activities independence, objectivity and diversity of opinion as well as scientific excellence. To meet this requirement, the DOG Congress expects the speakers of the congress to disclose their financial or other connections with pharmaceutical, biotechnological and medical technology companies, consulting firms and other organizations, for which a conflict of interest cannot be excluded. For lecturers, the embedding of an appropriate slide is mandatory. You will find a master copy of the slides attached or as a download at Conflicts of Interest.
In case a potential conflict of interest exists, please fill in the corresponding arrays in slide 1 and add it at the beginning of your presentation as slide 2. If there is no conflict of interest, please place the 2nd slide. The disclosure of potential conflicts of interest is mandatory for all speakers.

Grant of rights of use

By submitting his/her contribution, the Author grants the DOG a simple, irrevocable right of use to the submission without restriction as to content. The right of use particularly includes the editing, publication and reproduction of the submission (see also Obligation to publish).

Obligation to publish

Authors are obliged to publish all presentations held in freepaper oral sessions at the Congress in the DOG’s scientific journals.

All abstracts will additionally be published as eSupplement to the journal “Die Opthalmologie” and are therefore citable. The DOG holds the copyright of accepted scientific contributions.

Contributions in German may be submitted until January 31, 2025 for assessment at the Author’s discretion either to the journal “Die Ophthalmologie” (https://www.editorialmanager.com/deop/) or to “Klinische Monatsblätter für Augenheilkunde” (https://mc.manuscriptcentral.com/klimo). Manuscripts in English should be sent online for assessment to the journal “Graefe‘s Archive for Clinical and Experimental Ophthalmology” at https://www.editorialmanager.com/grae/.

Authors wishing to publish their presentation in another higher ranked scientific journal may make an informal request to the Recording Secretary of the DOG. This request shall be sent to the DOG Office (veronika.loer@dog.org) indicating the name of the journal where the publication is planned.

The obligation to submit contributions to a journal does not presuppose that the manuscript will be accepted by the journals. The publisher has sole responsibility for this decision.

Authors are reminded to follow the “Guidelines for Authors” of the journal in question and to send their manuscript directly to the publisher(s).

Presentation time

In the case of freepaper oral presentations the time allotted for speaking is 7 minutes plus 2 minutes for discussions; for posters, the time for speaking is 3 minutes plus 2 minutes discussion time; for videos, the time for speaking is 10 minutes plus 2 minutes discussion time.

The Author undertakes to comply strictly with these time limits. The presentation will be automatically stopped at the end of these specified times.

Compulsory attendance

The lead authors of presentations must be present in live sessions. In exceptional cases it is possible to arrange to be represented by the/a co-author. However, this must be notified in advance. The DOG reserves the right to exclude from the next DOG Congress any Author who fails to attend his/her presentation or who infringes another important obligation during the scientific program of the Congress without a valid excuse. If an Author and / or speaker has a valid reason, which prevents his/her attendance, he/she must inform the Congress organisers and name a person who will deputise for them.

DOG on Demand

“DOG on Demand” archives Congress contributions online, thus presenting the opportunity to hear presentations or other contributions a second time. This facility includes both the speaker’s slides and original presentation provided that the speaker is in agreement. It is possible to exclude specific parts of the lecture, for example for legal reasons.

“DOG on Demand” is a particularly important and useful facility for participants. The DOG is therefore extremely grateful to all speakers who agree to this form of publication.

The necessary grant of rights for the use of the presentation in “DOG on Demand” is queried in the upload process.

Presentation time videos

The maximum presentation time for videos is 10 minutes plus 2 minutes for discussion. These time limits must be strictly adhered to. At the end of the scheduled time, the presentation will automatically close. All presentations, including videos, must be submitted online or on-site to the Central Media Desk prior to the Congress. The deadline for submission is 2 hours before the start of the session in which the presentation is to be shown. Presenters of morning sessions (8:00 – 9:30 a.m. and earlier) must submit their presentations the evening before. Online submission will be available approximately 2 weeks prior to the congress. All presenters will receive a separate e-mail from M-Events Cross Media GmbH with access information and further instructions. The size of the video should be between 100 MB and 1 GB and may be in AVI, MPG, MPG4, MOV and WMV formats. Due to their length, free contributions with the format video will not be included in the moderated freepaper sessions, but will be made available to the participants in a “DOG Video Library” (Videothek). The videos awarded by the video award committee (see below) will be marked accordingly.

Rights of use for videos

By submitting the videos, the Authors expressly state that they hold all the necessary rights needed for the anticipated use and exploitation of the video and its content, and that the video they submit therefore contains no content, the public access to which or performance of which could infringe third party rights (e.g. the personal rights of persons who can be seen, copyright or music on which GEMA fees must be paid etc.). The Author will indemnify the DOG against all third party claims, which may be asserted against the DOG by reason of the use and publication of his/her video.

Video Awards

The video jury will award the DOG Video Award to the best three submitted videos; this award is sponsored by HAAG-STREIT DEUTSCHLAND GmbH. The prizes will be presented at the award ceremony on Saturday, 30th of September. The winners will be informed in advance by the DOG office.
